RFP Section 1

Purpose of this RFP

Christ Strong Foundation is seeking qualified event production partners, vendors, agencies, contractors, and service providers to assist in the planning, execution, and operation of Christ Strong Festival 2027.

The purpose of this RFP is to identify experienced organizations capable of delivering services that support a large-scale faith-based festival with projected attendance between 10,000 and 20,000 guests.

Respondents may submit proposals for individual service categories or for integrated turnkey solutions.

About Christ Strong Foundation

Christ Strong Foundation is a faith-based nonprofit organization committed to producing large-scale events that inspire spiritual renewal, strengthen communities, and demonstrate the power of unified worship. Christ Strong Festival 2027 represents the Foundation's flagship initiative — a two-day outdoor festival planned for Q3 2027 at Rancho San Rafael Regional Park in Reno, Nevada.

RFP Section 5

Desired Vendor Qualifications

Christ Strong Foundation is committed to selecting partners who bring demonstrated experience, operational integrity, and the capacity to perform at the scale required by a large-scale public event. All respondents are expected to meet the following baseline qualifications.

1. Event Scale Experience

Experience producing or supporting events with 5,000 or more attendees.

2. Municipal & Public Venue Experience

Demonstrated experience working with municipalities, public parks, and government-managed venues.

3. Safety & Operational Record

Proven safety record with documented incident response protocols and operational procedures.

4. References Available

Ability to provide a minimum of three verifiable professional references from comparable events.

5. Financial Stability

Demonstrated financial stability sufficient to fulfill contractual obligations through project completion.

6. Multi-Stakeholder Coordination

Experience coordinating across multiple vendors, contractors, and organizational stakeholders simultaneously.

7. Insurance & Licensing

Current insurance coverage and all applicable licenses as required by law and venue requirements.

8. Faith-Based Environment Alignment

Ability and willingness to operate within the values, culture, and standards of a faith-based event environment.

Meeting minimum qualifications does not guarantee selection. Christ Strong Foundation reserves the right to apply additional criteria during the evaluation process.

Proposal Submission Requirements

All proposals submitted in response to this RFP must include the following components. Incomplete submissions may be disqualified from consideration. Proposals should be submitted in PDF format unless otherwise specified.

Questions & Clarifications

To ensure fairness and consistency throughout the procurement process, all requests for clarification or additional information must follow the process outlined below. Christ Strong Foundation is committed to providing equal access to information for all participating respondents.

All questions must be submitted in writing via email to the designated Questions Contact listed in the Contact & Submission Information section of this document.

Questions must be received by the published Questions Due date. Questions submitted after this date may not receive a response.

Responses Distributed to All Respondents

To maintain fairness, responses to submitted questions may be consolidated and distributed in writing to all participating respondents. Individual responses will not be provided.

No Verbal Modifications

Verbal conversations, meetings, or phone calls shall not be considered official modifications to this RFP. Only written communications issued by Christ Strong Foundation carry official weight.

Formal Changes via Written Addenda

Any formal changes to the scope, requirements, or timeline of this RFP will be issued through written addenda. Respondents are responsible for incorporating all addenda into their proposals.

Christ Strong Foundation reserves the right to issue addenda at any time prior to the proposal submission deadline. All registered respondents will be notified of any addenda via the contact information provided at submission.

RFP Section 8

Evaluation Criteria

All proposals will be reviewed and scored by a designated evaluation committee assembled by Christ Strong Foundation. Proposals will be assessed across the following weighted criteria.

Christ Strong Foundation reserves the right to accept or reject any proposal, in whole or in part, for any reason. The Foundation is not obligated to select the lowest-cost proposal and may negotiate with one or more respondents prior to final selection. Submission of a proposal does not guarantee a contract award.

Procurement Timeline

The following timeline outlines the key milestones for this procurement process. All dates are subject to change at the discretion of Christ Strong Foundation. Respondents will be notified of any material changes via the contact information provided at submission.

RFP Released — June 18, 2026

This RFP is formally issued and made available to prospective vendors and partners.

Questions Due — July 17, 2026

All written questions from respondents must be submitted by this date.

Responses to Questions Issued — July 24, 2026

Christ Strong Foundation will issue written responses to all submitted questions.

Proposal Deadline — July 31, 2026

Shortlisted respondents may be invited to participate in interviews or presentations.
